AI Receptionist for Indian Businesses

Most missed calls in an Indian SMB are not missed because nobody wants to answer. They are missed because the one person who answers the phone is also doing three other things. An AI receptionist picks up every time, in the caller’s language, and finishes the routine calls instead of just routing them.

Definition

An AI receptionist is a voice agent that answers your business phone number, holds a normal spoken conversation with the caller, and completes what they called about — booking an appointment, answering a routine question, taking a message, or handing off to a person.

The difference from an IVR is that the caller talks instead of pressing keys, and the call usually ends resolved rather than transferred.

Why this is not just a better IVR

An IVR asks the caller to translate their problem into a menu. That works when the problem fits a menu option and fails completely when it does not — which is most of the time in a small business, where callers ring with specific, oddly-shaped questions.

An AI receptionist takes “is Dr Sharma in on Thursday and can I move my Tuesday appointment” as a single sentence and handles both halves. No menu covers that.

Where it fits in India

Clinics and diagnostic centres

Appointment booking and rescheduling, timings, which doctor sits when, whether a report is ready. Reception is usually one person who is also handling a queue in front of them. AI calling for healthcare.

Salons, spas and service centres

Booking, availability, pricing questions. Calls cluster at exactly the times staff are least able to pick up.

Real estate offices

Site visit scheduling and first-line qualification on inbound enquiries from listings, so a caller is never left ringing. AI voice agents for real estate.

Coaching and training institutes

Admission enquiries, batch timings, fee structure, demo class booking — the same eight questions, hundreds of times per admission cycle. AI calling for edtech.

Small offices without a front desk

Businesses where the phone currently rings on a founder or an ops person, and gets ignored during anything important.

What it does, and what it does not

The second list is the one worth reading before you buy anything in this category.

Handles well

·Answer and hold a conversation in 8 Indian languages
·Book, reschedule or cancel an appointment
·Answer routine questions from a knowledge base you provide
·Capture caller name, number, reason and any field you define
·Route to a human when the call needs one
·Take a message outside working hours

Does not handle

·Negotiate on price or terms
·Absorb an angry customer well — route these to a person
·Handle a caller who talks over it continuously
·Make a judgment call your business has not defined a rule for
·Replace a receptionist who also greets walk-ins and handles paperwork

Setting one up

01

Get a dedicated number

₹749/month on Free and Builder, included on Business. Inbound cannot work on a shared pool number, because a shared number cannot receive calls on your behalf.

02

Describe the agent in plain language

Who you are, what callers usually want, what it should say, what it must never say. No flowchart, no call-tree builder.

03

Add your knowledge base

Timings, pricing, locations, FAQs. Upload files or point it at pages on your site so it answers from your facts rather than guessing.

04

Attach the number to the agent

Set incoming calls on that number to route to the agent, and set the fallback for anything it should hand off.

05

Call it yourself before you launch

Ring your own number and try the awkward questions, not the easy ones. This is the step people skip and regret.

What it costs

Two components: the number and the call time. A dedicated number is ₹749/month on Free and Builder, and included on Business. Call time comes out of your plan credits — Builder is ₹799/month for roughly 113 minutes, Business is ₹3,449/month for roughly 533 minutes.

Those are real ceilings, not unlimited plans. A clinic taking 40 short calls a month sits comfortably inside Builder; a busy diagnostic centre will not. Work out your own call volume against the pricing page before committing, and compare the model against per-minute platforms in per-minute vs monthly pricing.

The compliance position

Answering calls that come to you is not regulated the way outbound calling is. DLT registration and the 140/160 number series under TRAI TCCCPR 2018 govern outbound commercial calls.

If the same setup also dials out — reminders, follow-ups, confirmations — those calls do fall under it. See what is DLT registration in India and AI calling with an Indian number. For the outbound side, start with telecalling software or appointment reminder calls.

Frequently asked questions

What is an AI receptionist?

An AI receptionist is a voice agent that answers your business phone number, holds a conversation with the caller, and completes the task they called about — booking an appointment, answering a common question, taking a message, or routing the call to a person. Unlike an IVR, the caller speaks normally instead of pressing numbers.

How is an AI receptionist different from an IVR?

An IVR gives the caller a fixed menu and asks them to press a key. An AI receptionist listens to what the caller actually says and responds to it, including questions the menu never anticipated. Practically, IVR routes calls; an AI receptionist finishes them. IVR also collapses badly when a caller has a request that does not fit a menu option.

Can an AI receptionist answer in Hindi or a regional language?

Yes. Vyora agents run in English, Hindi, Tamil, Telugu, Kannada, Marathi, Bengali and Gujarati. The practical advantage over hiring is coverage — a clinic in Chennai and a showroom in Indore can run the same setup in different languages without hiring separately for each.

Do I need my own phone number for an AI receptionist?

Yes. Answering incoming calls requires a dedicated number that belongs to you, because a shared pool number cannot receive calls on your behalf. On Vyora a dedicated number is ₹749/month on Free and Builder plans, and one is included with Business. Inbound turns on once the number is attached.

What happens if the AI receptionist cannot handle a call?

It should hand off, and a setup that does not is badly designed. Route anything involving a complaint, a negotiation, or an unusual request to a human, and have the agent take a message when nobody is available. An AI receptionist that tries to improvise through a call it cannot handle produces a worse outcome than voicemail.

Is an AI receptionist legal in India?

Answering your own inbound calls does not require DLT registration — DLT and the 140/160 number series govern outbound commercial calling. If you also make outbound calls from the same setup, those fall under TRAI TCCCPR 2018 as amended February 2025 and do need DLT registration and DND scrubbing.
